1. GENERAL PROVISIONS

Validity of the General Terms and Conditions All course participants who enter into a contract with Polyngo are bound by the following terms and conditions. The contract is considered concluded upon completion of the registration form and full payment.

Course Booking To book a course, the registration form must be completed online via the official Polyngo website.

Rebooking and Cancellation

a) A change of course or course time is generally possible if there is sufficient capacity in the desired course, provided that it is the same course format (e.g. intensive course to intensive course) and the desired course takes place in the same month for which the fees have been paid. Any requested change must be communicated to the office in advance, and any price difference must be compensated. The first change is free of charge; each additional change costs €10. The change request must be submitted at least 14 days before the start of the course. Please note that a change is not always guaranteed.

b) Any cancellation or modification of an agreed company course must be communicated to the office at least 14 days before the scheduled date and during office hours. Only then can fees be refunded or the date rescheduled. Late cancellations or non-attendance will result in the full course fee being charged.

c) Due to the limited number of places available, each booking occupies a seat that may otherwise be taken by another participant. A participant may cancel their booking without giving reasons up to 14 days before the start of the course, provided written notice is given. After this period or upon receipt of the course details by email, no withdrawal is permitted and no refund will be issued.

Validity of the Contract The contract is considered binding from the moment payment is completed. The start date and duration of the course will be specified in the course details sent by email.

Data Protection Polyngo is committed to protecting the privacy of its participants to the highest standards. Personal data is collected, processed, and stored exclusively to the extent necessary for the execution and management of the contract, and in compliance with applicable legal obligations. This data will not be shared with any third party except to the extent required for contract fulfilment or by law. Both parties undertake to treat all personal, business, and contractual data with strict confidentiality, and its use for any purpose beyond the scope of this contract is prohibited.

2. LANGUAGE LESSONS

a) Lesson Plans: Lesson plans are determined by the school management.

b) Duration: Each lesson lasts 45 minutes.

c) Attendance & Participation: Each student is required to attend and participate in class on a regular basis.

d) Minimum Number of Participants: The minimum number of participants for a course is 3. If this number is not reached, the school management is entitled to postpone the course, integrate participants into other courses, adjust the schedule, shorten the course, or propose a suitable alternative. If the course is cancelled or postponed for organisational reasons, the full course fees will be refunded with no additional compensation.

e) Absences: Participants who are absent for more than 80% of the course time are not entitled to a certificate of attendance. A new placement test may be required when registering for a follow-up course.

3. PAYMENT Course fees are to be paid in full in advance upon registration via the website.

4. MISCELLANEOUS

a) Accuracy of Information: Each participant undertakes to provide truthful information about themselves and their language level upon registration. In the event of misclassification due to inaccurate information in the placement test, no refund will be issued and the school is not obliged to provide an alternative course. Each student is also required to notify the school management of any change of address during the course.

b) Public Holidays: No classes are held on weekends. As students join from different countries, public holidays are not automatically considered days off, unless the group agrees with their teacher to hold a make-up session on another day.

c) Course Books: Each participant is responsible for purchasing their own course books.

d) Misconduct: Polyngo reserves the right to exclude participants who violate the instructions of the school management, teaching staff, or these contractual terms, following prior warning. In such cases, the participant remains obligated to pay the full course fees for the entire duration of the course, and no refund of fees already paid will be issued.

e) Photography & Advertising: Polyngo reserves the right to take photos or videos of classes and participants during lessons or activities, with prior notice, and to use them for promotional purposes.

f) Agreements: All agreements concerning school matters must be made with the school management only. Any agreement made directly with a teacher is invalid. Only written agreements are binding.

5. LIABILITY Polyngo bears no liability for the cancellation or disruption of lessons due to force majeure or circumstances beyond its control.

The place of performance for all obligations arising from this contract and the place of jurisdiction is Dubai. The legal and contractual relationship between the participant and Polyngo is governed exclusively by the law of the United Arab Emirates.
